Document Defaults Tab: Viewing A Customer's Default Document Contacts

The Document Defaults tab records, for the current customer, default contact details for the available customer document types.

For example, say the Document Defaults tab for the customer Abbey Forest Products Ltd records the default contact for the Document Type 'Quotation' as Lorna Jameson. Therefore, when a Quote is 'printed' for Abbey Forest Products Ltd it will automatically be emailed to Lorna Jameson at Abbey Forest Products.

To view Document Defaults for a customer:

1.      Find and open the Customer record for the required customer. See Finding Customers.

2.      Click the Document Defaults tab:

3.      The Document Type column lists the available document types for a Customer record, while the Default Contact column lists the specified default contact for each Document Type.

Note: If a Default Contact has not yet been specified for any available Document Type, the Default Contact will be shown as 'No Default Specified'.

Document Types Available To Customers

Document Types available to Customers for 'printing', for which you may specify a Default Customer Contact, include:

• Acknowledgement

• Advanced Despatch Notification

• Cash Sales Credit Note

• Cash Sales Invoice

• Certificate Of Conformity

• Collection Note

• Contract (Sales Contract)

• Credit Note

• Despatch Note

• Picking Note

• Quotation

• Refund

• Sales Invoice

• Sales Order

• Statement

Defining The Default Customer Contact For A Document Type

To define or change the Default Contact for one of the available document types (e.g. Quotation), click the link for the appropriate Document Type. For details see Setting Up A Customer's Default Document Contacts.

Finding Customer Document Defaults

If there is more than one page of document types you may click the blue arrow keys to scroll backwards and forwards through pages of document types.

To search for a particular document type, enter a search term in the available field, then click the Search (magnifying glass) icon  .
