Creating A Member Country VAT Record

If you are VAT-registered in another EU country because you sell to non-VAT-registered customers in that country, you will need to create a Member Country VAT Record which holds your company's VAT ID number in the EU country you are trading with.

For example, if your company is based in the UK but you are registered for VAT in the Republic of Ireland because you sell to customers there, you will need to create a Member Country VAT Record for the Republic of Ireland.

Member Country VAT Records, in conjunction with Product By Member Country Records, are used by the system to determine the VAT rate payable by the customer in the country you are trading with.

Note: For further details see Member Country VAT Record Maintenance and VAT Record Maintenance.

To create a Member Country VAT Record:

1.      Do one of the following:

A new Member Country VAT Record will open in a new tab:

For the selected country, select a VAT Prefix (a prefix for the VAT Number) from the drop-down menu - e.g. AT, IE, LU.

You must use the required VAT Number Structure. See EU Member Country VAT Number Structures below.

Select the Currency used in the Member Country from the drop-down menu; e.g. Euro.

3.      When you have completed the fields as required, select Save from the Toolbar - Sub Menu to save the new record.

Saved Member Country VAT Records will display in the Finder. See Finding Member Country VAT Records.

4.      You may create further Member Country VAT Records for other countries as necessary.

You will need to set up a Product By Member Country Record for each product you sell to customers in this country. For further details see:

For guidance, here are the VAT Identification Number Structures for each EU Member State.

Note: As these details may change we recommend checking for the latest information. See the European Commision's FAQs on VAT for member states at http://ec.europa.eu/taxation_customs/vies/faqvies.do#item_11
