Confirming, Editing And Denying Web Registrations

A Web Registration record is created in Quantum VS when a 'prospective' web customer enters their details via your Quantum VS eBusiness website, with the intention of registering as a Web User so that they may place orders online.

 

Each Web Registration contains information in a series of fields, as entered by the registrant via your website. With new registrations the Status field is, by default, set to 'Requested', meaning Web User status has been requested by the registrant.

 

You (i.e. a Quantum VS user, such as an administrator or credit controller) must then retrieve the Web Registration record in Quantum VS and either:

Confirming 'Requested' Web Registrations

To confirm a 'requested' Web Registration and grant the registrant Web User status:

 

1.      Use the Finder to retrieve and open the required Web Registration record. See Finding Web Registrations.

 

2.      The Web Registration record opens. The fields display the details entered by the registrant via your website.

 

Note: To edit any of the fields, or deny Web Registration, see Denying And Editing Web Registrations below.

 

If it is a new Web Registration the Status field displays 'Requested', meaning Web User status has been requested by the registrant:

To Confirm Web User status to the registrant: click Confirm User.

 

Note: The Confirm User button is not displayed if Web User status has already been granted or denied (i.e. the Status field displays 'Granted' or 'Not Allowed').

 

3.      A new Web User record is created in a new tab, with the registrant's details added to the appropriate fields. Follow the procedure described in Creating A Web User Record to enter the remaining details/fields and save the new Web User record.

 

Once the new Web User has been saved:

Denying And Editing Web Registrations

To edit any of the fields, or deny Web Registration:

 

1.      Follow step 1 of Confirming 'Requested' Web Registrations above to open the required Web Registration record.

 

2.      Click Amend on the Toolbar - Sub Menu to place the Web Registration record in amendable mode.

 

3.      Make your charges to the available fields as necessary, using the following for guidance:

 

Field

Definition

 

Title

 

Holds the Registered User's Title (e.g. Mr, Mrs, Ms etc.). Select an alternative from the menu if necessary.

 

Name

 

Holds the Registering User's first name and surname.

 

Company Name

 

Holds the Registering User's company name.

 

Company Reg No

 

Holds the Registering User's company registration number.

 

Status

 

Holds the Registering User's Status, which will be one of the following:

 

  • Requested (i.e. Web User status has been requested but not yet granted or prevented)

  • Granted (i.e. Web User status has been granted)

  • Not Allowed (i.e. Web User status has been denied)

 

You may update this field in order to alter the Registering User's Status; e.g. from 'Requested' to 'Not Allowed'.

 

To grant the registrant Web User status use the procedure described in Confirming 'Requested' Web Registrations.

 

Date Requested

 

Holds the date on which the Web Registration was requested.

 

VAT Code

 

Holds the Registering User's company VAT Code.

 

Trusted Account

 

This field is checked if the Registering User has requested Trusted Account status.

 

Catalogue

 

This field is checked if the Registering User has requested a catalogue.

 

Username

 

Holds the Registering User's user name. This may be a short version of their full name (e.g. MIKE).

 

Password

 

Holds the Registering User's password (e.g. water) to log onto the website.

 

Password Hint

 

Holds the Registering User's hint to help them remember their password (e.g. comes from a tap).

 

Order Password / Hint

 

Additional fields are provided enabling websites to allow users a separate password and hint. These fields are not normally used.

 

Address Line 1 - 3 / Postcode

 

Holds the Registering User's address (a maximum of three lines are available) and postcode.

 

Telephone / Fax / Email

 

Holds the Registering User's telephone number / fax number / email address.

 

Comments

 

These fields allow the Registering User to enter comments. For example: 'We are looking to expand and expect to be placing orders on a weekly basis.'

 

 

4.      To save the amended Web Registration record, click Save on the Toolbar - Sub Menu.

 

Note: Alternatively you may click Enquiry on the Toolbar - Sub Menu to return the record to non-amendable mode without saving any changes.
