Once a Credit Note has been Completed, the Tracking tab displays, enabling you to track the Credit Note's progress.
The Tracking tab contains all documents relating to the Credit Note after Completion. This may include Collection Notes and Sales Invoices (Credit Notes). You may track the progress of the Credit Note by selecting the Tracking tab and clicking hyperlinks to open documents which relate to the Credit Note:
Note: To locate and open the required Credit Note see Finding Credit Notes. You may also use the Finder to locate and open individual Collection Notes, Sales Invoice (Credit)s and other document types.
Click the appropriate hyperlink to open the document in a separate tab.
Looking at the example above, clicking the 1007850 hyperlink would open Sales Invoice (Credit Note) 1007850 in a new tab. The actual tracking documents visible in the Tracking tab will depend on how far the Credit Note has progressed through the receipt cycle.
For further guidance on the available document types see:
Collection Note numbering uses a particular numbering system. Take the example above: 0005/0011275(001) - Confirmed. This comprises the following elements:
Branch (e.g. 0005) - refers to the Branch which is processing the Credit Note.
Credit Note (e.g. 0011275) - refers to the Credit Note the Collection Note is linked to.
Sequence Number (e.g. (001)) - since goods may be received on more than one Collection Note - as not all of the stock may be collected at the same time - the number in brackets shows the sequence number of the Collection Note. In the example above, Collection Note 0011275(001) refers to the first Collection Note for the Credit Note 0011275.
Status (e.g. Printed, Collected or Confirmed) - the current status of the Collection Note is also displayed.
Click the Refresh button to refresh the documents (and their statuses) in the Tracking tab.
For example, if you Confirm a Collection Note and have the Credit Note open at the same time, on clicking Refresh the Collection Note's status will update from Printed to Collected.
