Quantum VS Help: Sales Desk |
The final stage in issuing a Credit Note is to issue a Sales Invoice against the Credit Note (i.e. a Sales Invoice Credit).
You may issue a Sales Invoice Credit when:
the Credit Note has been Completed - if goods are NOT being returned into stock; or:
the Credit Note has been Completed and all Collection Notes have been Confirmed - if goods are being returned into stock. (This may be set up to take place automatically on your system - see Collection Notes: System Configuration.)
Sales Invoices (Credits) are raised by running the Sales Invoice Update process. The Sales Invoice Update process will locate Credit Notes which have been flagged as 'invoiceable' but have not yet been invoiced, and create invoices (i.e. Sales Invoice Credits) on the system for these Credit Notes.
Note: Depending on your system configuration, you may need to run the Bulk Credit Confirmation process before running the Sales Invoice Update process. See Bulk Credit Confirmation below.
Once you have created the invoices on the system, you must then run the Sales Invoice Print process to print the Sales Invoice Credits.
This is the final stage of the procedure for processing a Credit Note.
An additional procedure may be required, depending on the following flag settings in your User Record > Quantum User Fields tab.
If - under either Collect Now Credit Flags and/or Delivered Credit Flags - the Automated Confirm Collection field is unchecked, then when a Collection Note is Confirmed (for a Collected and/or Delivered Credit Note) the Credit Notes will not yet be flagged as 'invoiceable' and hence will not be picked up by the Sales Invoice Update process.
Note: See Collection Notes: System Configuration.
In this case you must first run the Bulk Credit Confirmation process. This enables the bulk Confirmation of multiple Credit Notes so that Sales Invoices (i.e. a Credit Note refund/Sales Invoice Credit) can then be raised against them. This process allows you to flag those Credits not already flagged as 'invoiceable' and allows you to specify 'restocking' charges which will appear on the Sales Credit. You may subsequently run the Sales Invoice Update process to create the invoices.
