Task Maintenance

Tasks may be used as a record of your interaction with Customers, Suppliers and Branches. This includes auto-generated Tasks, which might list sales and purchasing documents relevant to a Customer/Supplier/Branch, and also manually-created Tasks. Users may create Email Tasks, potentially using Task Templates, which may be emailed to Contacts at the Customer/Supplier/Branch.

 

General Tasks (Tasks not linked to a Customer/Supplier/Branch) may also be created manually, and subsequently monitored and marked as Complete, enabling users to manage their daily/weekly/monthly workload. Task FAQs

Where Can I See My Tasks?

Your Tasks - Tasks assigned to you - are shown in the My Tasks tab within the Finder. See Viewing My Tasks.

 

Where Can I See Tasks For A Certain Customer, Supplier Or Branch?

You can view Tasks for a particular Customer, Supplier Or Branch (assigned to yourself and all other users) by selecting the Tasks tab within the selected Customer, Supplier Or Branch record. See:

How Do I Email A Task?

Create a Task using the standard method, add the Subject and recipients (manually or using a Task Template), then click Email on the Toolbar - Sub Menu to send the email. See Creating Tasks.

 

What Are Task Templates?

Task Template Maintenance enables the creation of templates for 'email' Tasks. When an 'email' Task is created, authorised Branches/Roles/Users may select an existing Task Template so that the email Subject and body text is populated automatically with text from the template, which may be amended and added to. Rather than manually entering email addresses each time, the user may select recipients from the email Contacts held on file. See Task Template Maintenance.

 

Can I Filter Tasks By Date, Priority Or Status?

Yes. When viewing Tasks in the:

 

Who Are Tasks Assigned To?

Customer, Supplier and Branch Tasks must be assigned to a Quantum VS user when they are created. Each user will therefore see their Tasks listed in the My Tasks tab within the Finder. See Viewing My Tasks.

 

Whose Job Is It To Create And Carry Out Tasks?

This depends on your company and your users' roles and responsibilities. If a Task is listed in your My Tasks tab it has been assigned to you to carry out.

 

What Is 'Completing A Task'?

If the Task has been created manually and is not an email Task, you will need to:

How Do I 'Complete' A Task?

How Do I Know Whether A Task Is (a) Completed And (b) Overdue?

You may track your Tasks by checking in the My Tasks tab, which will list the Task Status and Due date.

 

What Are 'General' Tasks?

General Tasks are Tasks not linked to a Customer, Supplier or Branch.

 

What Are System-Generated Tasks?

A system-generated Task refers to Tasks created automatically by the system, as opposed to Tasks created manually. For example, when a Sales Order is raised for a certain customer, this displays in the Tasks Finder as a Task for this customer.
