Printing Maintenance

For printing to take place in Quantum VS, various procedures must be undertaken and various documents and records must be configured on the Linux Host Server and in Quantum VS.

Note: Many of the steps for setting up printing in Quantum VS are carried out by EDP OS Support as part of the Quantum VS and Linux Host Server installation procedure. However, non-EDP System Administrators may periodically be required to add/edit Printer records, add/edit the various IO Control fields on users' User records, and create/edit Print Groups within Quantum VS.

 

Printer records must be set up in Quantum VS for each printer which will be available in the system menus when printing documents. See Printer Record Maintenance.

 

Certain Quantum VS document types and Reports are automatically converted from XML to PDF format for delivery to the print destination (Printer / Email / Fax) using the 'XML to PDF print service'. This requires the set-up of various 'XML Print' record types in Quantum VS, plus the installation of various related files - including XML stylesheets - on the Linux Host Server. Note: These records are set up in Quantum VS by EDP OS Support as part of the Quantum VS and Linux Host Server installation procedure. It is not recommended that System Administrators or users amend these documents.

 

The print destination for each document type is defined within each individual Quantum VS User record. For each Quantum VS User, appropriate settings must be entered to determine the output destination for each document type/user. See Defining User IO Control Fields.

 

Print Groups enable users to preview, print and email text and PDF files which have been generated in Quantum VS and saved to 'Disk' (i.e. to the Linux Host Server). Before Users can view/print/email Documents saved to 'Disk' the System Administrator must set up the necessary Print Groups and Templates. See Print Group Maintenance.

Overview: How Are The Various Quantum VS Document Types Output?

All Document types (e.g. Sales Invoice) and Reports (e.g. Stock Count Listing) which require 'printing' in Quantum VS may be:

Note: An additional Print option - Via Highway - may be made available when printing a Purchase Order or Sales Invoice. If selected by the User, the document is transmitted via Quantum VS Highway to a specified Supplier or Customer. For this option to be available, XML Print Records must be configured to transmit the specified document type to the specified Supplier/Customer. See Configuring XML Print Records For Quantum VS Highway.

 

For each Quantum VS user, the default print destination for each document type which may be output is stored in the Output Lines fields of the User record > IO Control Fields tab.

 

Users have the option - depending on the document type being output and on which output destinations have been set up on the system - to override the default print destination: when selecting the Print option on the Toolbar the user may check the Print, Fax, Email or Disk field and enter/select a destination in the field to the right.

 

Many document types and Reports are output as 'formatted' PDF files which may be printed via a laser printer, sent by email, faxed, or saved to disk. Document types and Reports output as PDFs for printing/transmission via the 'XML to PDF print service' include:

 

Any 'printable' document type or Report not listed above is output via character-based text files for printing to Dot Matrix printers, or email/faxing via Actfax.

 

Note: Development is taking place to make further Quantum VS document types available via the 'XML to PDF print service'.

 

In this way, any document type or report which requires printing in Quantum VS may be printed via a designated printer, faxed or emailed to an appropriate destination, and/or saved to disk for later retrieval.

 

The Role Of Print Groups

Print Groups enable users to preview, print and email text and PDF files which have been generated in Quantum VS and saved to 'Disk' (i.e. to the Linux Host Server). These files include document types such as Sales Orders and Credit Notes, and Reports generated by running a Report or a Process.

 

Each Print Group is given a name and its own set of default options which apply only to that group. A Print Group is made up of one or multiple Templates - essentially a directory on the server - each of which hold documents (i.e. which have been saved to that directory on the server). So for example, a Print Group called 'Accounts' may be available to all users who work in accounts. Within this Print Group might be the following Templates: 'Statements', 'Credit Control', 'Accounts On Stop', and so on. By selecting one or more Templates a user may view a list of documents for each Template (e.g. all Statements), then click on a document in order to view, print or email it.

 

Before Users can view/print/email Documents which have been saved to 'Disk', the System Administrator must set up the necessary Print Groups and Templates. See Print Group Maintenance.
