Quantum VS Help: Sales Desk |
A Consignment Note is a note provided by the seller (i.e. you - the merchant company or 'consigner') to be given to the Carrier, featuring details of goods to be transported to the Customer (or 'consignee'). It may be countersigned by the Carrier as a proof of receipt of a consignment to be delivered, and may be used as an alternative to a bill of lading.
Note: Although both are document types generated by you (i.e. the merchant company), a Consignment Note should not be confused with a Despatch Note. Typically, your Despatch Note is a document which is attached to (or accompanies) the goods being delivered, whereas the Consignment Note is a document provided by you to give to the Carrier.
Printing/Confirming a Consignment Note is optional and required only when you are working with one or more Carrier companies to fulfill delivery/shipping of goods ordered by your customers. This takes place following Sales Order Completion after the goods have been confirmed (either manually, or automatically by the system) as picked, assembled and despatched. Depending on settings in your User record (see below), Consignment Note Print/Confirmation may take place automatically or it may be necessary to perform this step manually.
The method of delivery of the Consignment Note depends on your (i.e. the User's) Print settings in Quantum VS. You might print a 'paper' Consignment Note to be handed to the Carrier company's delivery driver. Alternatively, the Consignment Note may be faxed, emailed or delivered to the Carrier company electronically via the Quantum VS Highway. Potentially the Carrier company may provide online order tracking, enabling the Customer to track progress of their order delivery.
Whether Consignment Note Print/Confirmation takes place automatically or manually depends on whether the Consignment Note fields (for Collected or Delivered orders) are checked in your User record. These are among the Order Flags fields in the Order Flags fields in the User record > Quantum User Fields tab. See Entering Quantum User Fields Details.
For environments where it is necessary for a User to hand a printed 'paper' Consignment Note to a representative of the Carrier company, Consignment Note Print/Confirmation may be configured to take place manually. Alternatively, your system/User record may be set up so that the Consignment Note is automatically Printed/Confirmed and transmitted by email, fax or the Quantum VS Highway to the Carrier company.
Printing/Confirming a Consignment Note is the final step of the Sales Order cycle after Sales Order Completion at which a Carrier Service Level and Carrier may be defined or amended. It is not necessary for the User to take any further action after Printing/Confirming a Consignment Note. However, the User may optionally retrieve the Consignment Note and review/amend the Carrier Service Level and/or Carrier. A Sales Order may be invoiced even if a Consignment Note is required but has yet to be Printed/Confirmed.
Note: For further details on User Permissions and setting up the required records and system settings for Carrier Maintenance and Consignment Note Print/Confirmation see Configuring Your System For Carrier Maintenance.
You may Print/Confirm a Consignment Note once a Sales Order has been Completed and the goods have been confirmed (either manually, or automatically by the system) as picked, assembled and despatched (i.e. Picking Notes, Delivery Assembly and Despatch Notes for the Sales Order have been Confirmed - see The Picking, Delivery Assembly, Despatch And Invoicing Cycle).
To Print/Confirm a Consignment Note see Printing/Confirming A Consignment Note Manually.
Printed/Confirmed Consignment Notes may be reviewed and opened using the Consignment Notes Finder. See Finding Consignment Notes.
When a Consignment Note is Printed/Confirmed, details are updated on the Despatch Note.
