Bulk Document Scanning is designed for users wishing to scan and archive a pile of Despatch Notes or Picking Notes in one go. The procedure involves:
Scanning: where the user presses a button on the screen to initiate scanning of the physical documents. Then:
Detection: where the document type and data of the scanned images are 'recognised' so that ultimately they can be matched with existing documents on the system. The User may edit the details as necessary; for example, if the system was unable to recognise the document number because the printer ink was smudged. Then:
Archiving: where the scanned and validated documents are stored against the equivalent electronic documents on the server.
The saved image can then be retrieved and printed or emailed as necessary; for example, if a customer wished to query whether certain goods were received or signed for. See Working With Archived Documents.
Note: To perform bulk scanning: (1) the documents being scanned must have a Picking Note or Despatch Note number, bar code and page number, so that the system can associate the scanned document with the equivalent document on the system. This is not required for individual document scanning. (2) Optional Enhancements, Roles/User Permissions and other prerequisites must be enabled to scan the required document type(s).
