Task, Note And Diary Maintenance

Tasks, Notes and Diaries provide a way of:

The key concepts are as follows:

Task Templates

Task Template Maintenance enables the creation of templates for 'email' Tasks. When an 'email' Task is created, authorised Branches/Roles/Users may select an existing Task Template so that the email Subject and body text is populated automatically with text from the template, which may be amended and added to. See Task Template Maintenance.

Tasks

Tasks may be used as a record of your interaction with Customers, Suppliers and Branches. This includes auto-generated Tasks, which might list sales and purchasing documents relevant to a Customer/Supplier/Branch, and also manually-created Tasks. Users may create Email Tasks, potentially using Task Templates, which may be emailed to Contacts at the Customer/Supplier/Branch.

General Tasks (Tasks not linked to a Customer/Supplier/Branch) may also be created manually, and subsequently monitored and marked as Complete, enabling users to manage their daily/weekly/monthly workload.

For FAQs and further details on viewing, adding, editing, deleting and Completing Tasks see Task Maintenance.

Notes

Notes may be created as a means of recording general information about a particular Customer, Supplier or Product and to 'pop up' information at relevant points in the sales or purchasing procedure.

For FAQs and further details on viewing, adding, editing and deleting Notes see Note Maintenance.

Diary

The Diary tab - which lists current Tasks - becomes available within sales documents when you enter the Customer in the header section. See Creating A New Sales Order, Creating A New Quote, Creating A New Sales Enquiry, Creating A New Sales Contract and Creating A Credit Note. The display is the same as when viewing the Tasks tab in the Customer record - see Tasks Tab: Viewing Customer Tasks.

Note: You may view a list of your own Tasks by clicking the My Tasks tab in the Finder. See Viewing And Completing Tasks.
