Quantum VS Help: Finder |
You may use the Finder to:
show details of your Products;
locate a specific Product record; and
open a Product record for viewing/editing (or add its details to an open document).
Note: Rather than using your mouse, it is possible to use your keyboard to activate the required record type in the Finder, browse records in the Finder, then open the record in a new tab or add it to an open document. See Using Keyboard Shortcuts With The Finder.
To show Products in the Finder:
From the Home tab: under search, select Products.
Or: Use the search section in the Mega Menu to select Products.
Or: From the main menu: select Edit > Search, then select Products.
Or: In the Finder: click the 'down' arrow on the Search... button and select Products from the menu.
Your Product records will be listed in the Finder. For example:
For further details and column definitions see Product Maintenance.
Note: Additional User Defined Fields will display in the Finder if the 'Show In Finder?' option was selected when Creating User Defined Fields. Fields will display data if it has been entered for a Product.
Note: You may change the sequence of records displayed - see Changing The Search Sequence.
If more than one page of records is displayed in the Finder you may click the blue arrow keys on the Finder Toolbar to scroll through pages of records and/or enter/select a page number. For example, entering 40 will show the 40th page of results. See Browsing Records in The Finder.
You may select the Branch which stocks the Product using the Branch menu on the Finder Toolbar.
To open the required record from the Finder, either:
Click the Product Code hyperlink of the record you wish to open.
Or: Right-click on the line of the record, then select the View... option.
Note: An alternative method of opening a Product record is to click the Product Code hyperlink on the order line of an open sales or purchasing document (e.g. Sales Order; Purchase Order).
The record will open in a new tab. For further details see Product Maintenance.
You may wish to display only records which have been created from or to a certain date, or within certain dates. To do this:
1. Click Advanced on the Finder Toolbar.
2. Enter/select the required date in the From and/or To Date Created fields. Click the Today link - to the right - to enter today's date in the To field.
3. Click the search (magnifying glass) icon on the Finder toolbar. Only records created within the selected date range are displayed.
You may wish to alter the sequence in which the records are displayed in the Finder. To do this:
1. Click Advanced on the Finder Toolbar.
2. The Search menu shows the current order in which records are displayed. To change the sequence, select an alternative option from the menu.
Products have the following Search options:

3. Click the search (magnifying glass) icon on the Finder toolbar. The records will be re-sequenced.
For example, if you select the Search option 'Product Code' (and you have not limited results by entering a search term or deselecting filters, as described below), on clicking the search icon all of your Product records will be listed in Product Code order. If you subsequently select the Search option 'Description', on clicking the search icon all of your Product records will be listed in Description order.
To find a specific record without having to browse through pages of records:
1. Type an appropriate search term into the search field on the Finder Toolbar.
The search term you enter should relate to the Search option selected - see above. For example, if the Search option is Product Code then enter all or part of the Product Code.
Note: You may click the down arrow within the search field to view and select a recent search.
2. Click the search (magnifying glass) icon on the Finder toolbar.
The records will be re-sequenced in the Finder, with the nearest matching record displayed at the top.
Use the Product Code or Product Record options in the Search menu as follows. Select:
Product Code - to order records by products which match exactly the Product Code you enter. Use this option if you know the full Product Code of the product you are searching for.
Product Record - to order records by products which include the text you enter in their Product Code or Description. This option is useful if you don't know the full Product Code of the product you are searching for, or if you only know part of the Description.
For example: there is a Product in your database with Product Code '10203060' and Description 'Plain Pink Tiles 6 x 6'. You wish to list this product in the Finder so you can add it to a Sales Order.
If you know the exact Product Code, use the Product Code option in the Sequence menu. Entering '10203060' will display the required product in the Finder.
Alternatively, if you can't remember the Product Code but know the Description contains the word 'Tiles', or that the Product Code starts with '1020' or ends with '3060', use the Product Record option. Entering any of these terms will display all products with 'Tiles' in their Description, or whose Product Code includes '1020' or '3060'. You can then select the required product from the list of results.
You may use filters to control which records are displayed in the Finder. To filter Products:
1. Click Advanced on the Finder Toolbar.
2.
