Advanced Despatch Notification

Advanced Despatch Notification is a document which may be sent to a Contact at a Customer or Customer Site to inform them that their order is being despatched.

 

This option must be enabled by defining Advanced Despatch Notification options for a Customer or Customer Site. See Defining Default Advanced Despatch Notification Options For A Customer/Customer Site below.

 

If this option is enabled, an Advanced Despatch Notification will be printed automatically for a Customer/Customer Site when the Sales Order's Despatch Note is either Printed or Confirmed. See:

 

Standard print options apply: the document may be sent to a printer, and perhaps then posted to a customer; alternatively it might be sent directly to the customer by email, fax or via the Quantum VS XML Highway. You may use the Reprint option to reprint an Advanced Despatch Notification - potentially to an alternative print destination. See Advanced Despatch Notification Print Options below.

Defining Default Advanced Despatch Notification Options For A Customer/Customer Site

The Advanced Despatch Notice field in a Customer and Customer Site record enables you to set up default Advanced Despatch Notification options for a Customer or Customer Site. See:

 

This field enables automatic Advanced Despatch Notification printing for the Customer/Customer Site at one of the following points in the Sales Order Processing cycle:

The default option is None, meaning an Advanced Despatch Notification is not printed at any stage.

Advanced Despatch Notification Print Options

If Advanced Despatch Notification has been enabled for the current order Customer/Customer Site, the document is printed automatically when the order's Despatch Note is either Printed or Confirmed (depending on the selected option - see above).

 

Default Advanced Despatch Notification Print Options

The default output method and Customer Contact is the one defined for the document type 'Advanced Despatch Notification' in the Document Defaults Tab for this Customer. If no Document default is specified, the default 'print' destination is the default specified for the document type 'Advanced Despatch Notification' in your User record > IO Control Fields tab.

 

Notes: (1) You may use Print Groups to view, print and email/fax any document saved to Disk (i.e. to the Linux Host Server). (2) Many Quantum VS document types and Reports are output as XML files which the system automatically converts into 'formatted' PDF files which may be printed via a printer, sent by email, faxed, saved to disk or sent via the Quantum VS XML Highway. Manually Selecting Alternative Print Options (Reprint)

You may manually print - or reprint - an Advanced Despatch Notification. This will override any defaults for this document only. To do this:

 

1.      When the Despatch Note is open, select Reprint from the Toolbar - Sub Menu.

 

2.      The Print Option Window displays print options for Advanced Despatch Notification. Select options as required and click Print. For further details see Printing A Despatch Note Manually.
